People reshaping TeamViewer
Alexander Pilsl
Director of Procurement

"We went from a situation where users never knew what would happen next to having a system where everything is transparent and user-friendly. The ability to easily adjust processes to meet new requirements has been transformative."

Before / After
Before Omnea
  • Procurement processes built on Microsoft Dynamics — highly manual and compliance-driven
  • Multiple disconnected platforms (email, Teams, Jira, FreshService) with no orchestration layer
  • Little visibility for stakeholders — users left in the dark about where their request stood
  • Procurement unable to drive meaningful value; reactive rather than strategic
  • No focus on ESG considerations or risk management beyond basic compliance
  • Administrative burden of manually shepherding requests and deciding which steps were required
  • 50+ internal stakeholders involved across Legal, InfoSec, Finance, and business — no coordinated process
After Omnea
  • Single centralised intake as the "front door" for all procurement requests
  • All stakeholder reviews and approvals automatically routed at the right time via no-code conditional logic
  • Employees can see a visual representation of their workflow before and after submission
  • Procurement transformed from reactive and compliance-driven to proactive and value-driven
  • Seamless integration with existing systems — no need to replace the tech stack
  • Risk management and ESG considerations embedded into the procurement process
  • Procurement function freed to focus on cost containment, supplier management, and strategic work
Challenge

Alexander Pilsl joined TeamViewer as Director of Procurement with a mandate to build a modern, value-driven procurement function — delivering spend control and risk management while maintaining the compliance track record already established.

He quickly recognised that the existing processes and tech ecosystem weren't up to the task. Procurement was built on the backbone of Microsoft Dynamics and relied on a patchwork of disconnected tools — email, Microsoft Teams, Jira, and FreshService. The result was a highly manual process with little visibility for stakeholders and a procurement function unable to drive meaningful value for the business.

"As a company with 1,500 employees spread across dozens of offices worldwide, our procurement process was compliance-driven and reactive. It wasn't appropriately addressing key areas like value-driven procurement, ESG considerations, or risk management. Users lacked transparency and were often left in the dark, unsure of where they stood in the process or what to expect next."

— Alexander Pilsl, Director of Procurement

Alexander needed a solution that could leverage the existing ecosystem and processes, but connect them to the wider business through automation and orchestration.

Solution

After a thorough RFP process involving over 50 internal stakeholders across Legal, InfoSec, Finance, and end employees, TeamViewer chose Omnea to support the procurement transformation.

Omnea's flexibility was central to the decision — it enabled TeamViewer to build on what they already had, acting as the orchestration layer and connective tissue holding key systems together. Centralised intake acts as the front door, ensuring requests are made within the same platform that automates and orchestrates the rest of the process.

"From centralised intake that makes it easy for users and loops in the right people at the right time, to fully automated and configurable renewal workflows. We orchestrate, we manage and operate a lot of our activity on the backbone of their platform."

— Alexander Pilsl, Director of Procurement

Automated approval workflows now sit at the core of TeamViewer's procurement process. All reviews and approvals from Legal, InfoSec, Finance, and other stakeholders are automatically routed at the right time using Omnea's no-code conditional logic. The administrative burden of manually shepherding requests — and the mental load of deciding which steps were required — has been removed.

Employees benefit from a visual representation of the workflow their request will take, and can now collaborate in the same system as key process stakeholders.

"Omnea changed the perception of procurement within TeamViewer as drastically as moving from Windows 95 to an iPhone. It's just that significant of a step forward in terms of what it looks and feels like to engage and use procurement services."

— Alexander Pilsl, Director of Procurement
Results

Procurement transformed — from reactive to value-driven Omnea's centralised intake brought unprecedented visibility of the procurement process to the wider business. Automated workflows freed the procurement function to be more proactive and strategic — delivering on cost containment, risk management, and ESG, rather than just keeping the lights on.

Users love the process — compliance through great experience The shift in user experience has been one of the most significant outcomes. High adoption and compliance came not from enforcement, but from building a process people actually want to use.

"What we learned after going live with Omnea is that users just love the process. It profoundly changed how we work and engage with them. The level of user-friendliness and the ability to involve the right people at the right time have been unmatched." — Alexander Pilsl, Director of Procurement

Built to scale — agile without starting from scratch Omnea's seamless integration with existing systems (Dynamics, FreshService, Jira, Teams) and no-code workflow builder means TeamViewer can adapt quickly to new requirements — without replacing the tools stakeholders already rely on.
