Intelligent document processing (IDP)

Intelligent document processing (IDP) is the use of AI to read documents such as invoices, contracts and supplier forms and turn them into structured data a system can act on. Unlike basic OCR, which only converts images of text into text, IDP understands what the information means and checks it against existing records.

Intelligent document processing (IDP) in procurement is the use of AI to read procurement documents, such as invoices, contracts, security reports and supplier forms, and turn them into structured data a system can act on. It replaces the job of retyping details from a PDF into the ERP or a supplier record.

Procurement runs on documents that arrive in every format. One supplier sends a neat PDF invoice, another sends a photo of a printed one, a third attaches its bank details to an email. IDP is what lets software deal with all three.

Which procurement documents can IDP read?

IDP handles the documents that pile up at every stage of buying from a supplier:

  • Quotes and statements of work, including scope, price and dates

  • Invoices, including line items, tax, totals and purchase order references

  • Contracts, including parties, value, term and renewal dates

  • Security documents such as SOC 2 reports and supplier trust centre pages

  • Supplier onboarding forms, certificates, bank details and tax information

  • Completed risk and due diligence questionnaires

How is IDP different from OCR?

Optical character recognition (OCR) turns an image of text into text. Intelligent document processing works out what that text means. OCR can read “£12,400” on an invoice. IDP knows it’s the invoice total, checks it against the purchase order, and spots that it’s £400 more than what was approved.

That difference is why IDP cuts manual work and OCR on its own often doesn’t. OCR output still needs someone to sort it, label it and check it. Modern IDP uses large language models rather than fixed templates, so it copes with layouts it hasn’t seen before.

Where does IDP fit in the procurement process?

IDP shows up at almost every stage of the procurement cycle:

  • Intake: reading a quote or statement of work to fill in the request

  • Supplier onboarding: filling in supplier forms from documents the supplier already has

  • Risk assessment: finding and reading security documents instead of asking for them again

  • Contracting: pulling renewal dates and key terms out of signed contracts

  • Accounts payable: capturing invoices, coding them and matching them to the purchase order

What makes IDP accurate?

IDP gets more accurate the more context it has. Most document tools start from the PDF and work backwards. An invoice read on its own is just a document. An invoice read alongside the purchase order, the goods receipt, the supplier record and the original request can be checked line by line.

Validation rules help too. Bank details can be checked against format rules for IBAN and SWIFT codes and, more importantly, against the details already on the supplier record. Changed bank details are a common route for payment fraud, so any mismatch should go to a person to verify.

How does Omnea use intelligent document processing?

Omnea reads documents at every stage of a request. At intake, an employee can share a statement of work, and an agent pulls the details into the request and flags likely mismatches before it’s submitted. In the Supplier Portal, suppliers upload their documents and Omnea AI pre-fills the questionnaire, so they don’t retype what’s already written down. In sourcing, suppliers can pre-fill their responses from a proposal document or a trust-centre link.

For risk, the Artefacts Agent in Omnea third-party risk management pulls SOC 2, ISO 27001 and penetration test reports from supplier trust centres, and subprocessor tracking follows fourth-party risk. In contracting, Omnea tags every uploaded contract by type, date, supplier and key clauses, and AI bulk extraction turns legacy contract PDFs into structured records.

In our Accounts Payable module, agents capture, code, check bank details and match every invoice using existing purchase order and supplier data. Because the invoice is matched against records Omnea already holds from intake onwards, fewer exceptions come up in the first place.

FAQs

What is intelligent document processing in procurement?

It’s AI that reads procurement documents (invoices, contracts, supplier forms, security reports) and turns them into structured data. Instead of someone copying an invoice total or a renewal date into a system, IDP extracts it, checks it against existing records and passes it to the next step. Exceptions go to a person to review.

Does IDP remove manual invoice checking?

It removes most of it. IDP captures and codes invoices and matches them against the purchase order and supplier record automatically. People only see the invoices that don’t match, such as a price difference, a missing PO or changed bank details. The cleaner the upstream data, the fewer exceptions there are to check.

Can IDP read scanned or handwritten documents?

Modern IDP reads scanned PDFs and photos of printed documents well. Handwriting and poor-quality scans are less reliable, so they should be routed to a person to check. If suppliers can submit documents through a portal, or forms can be filled in from their existing files, the quality problem mostly disappears.
