What problems needed solving?
Typeform has scaled rapidly since its inception in 2012, but procurement had never found a permanent home. Intake and approvals were run through a home-grown process in Jira, which was already used for IT ticketing and operations. As they scaled, Jira's lack of dedicated procurement functionality proved increasingly restrictive — creating manual work for procurement owners, requesters, and approving stakeholders alike. Average cycle times reached 40 days.
Limited workflow logic and conditionality meant users and suppliers were asked for unnecessary information on every request. Process owners spent too much time manually chasing information over Slack and email, and it was difficult to track indirect spend or consistently apply TPRM processes.
Typeform had no single source of truth for contracts, suppliers, or renewals. Data collection and management was done manually, making it impossible to get ahead of renewals for proactive negotiation — resulting in lost savings opportunities.
Workflows built in Jira had become a black box. Nobody had full visibility of where requests sat or how they were flowing through the process, and any change required developer assistance. Typeform needed a system that could be continuously optimised and gave everyone the visibility to make fast, informed decisions.
"We'd outgrown our processes built in Jira and they weren't able to support our continued growth. Our number one priority was to become more agile. To do that we needed to provide a great UX for employees requesting new purchases, and keep it just as slick for our approving stakeholders. That's why we chose Omnea."

How did Omnea help?
Typeform worked collaboratively with Omnea to migrate their procurement, legal, and risk workflows — with IT operations remaining in Jira. The primary aims were to reduce cycle time and eliminate manual work.
"There's no more second guessing. We've saved countless hours searching for information and documents spread across different systems, emails, and Slack. Whatever someone is looking for, Omnea is the answer."

What were the business impacts?
62.5% reduction in cycle time — from 40 days to 15 By transforming intake, automating stakeholder routing, and replacing the Jira black box with a purpose-built procurement platform, Typeform cut average request cycle time by more than half.
3,282 hours of manual work saved in 12 months Automation across intake, vendor onboarding, contract signing, and PO generation eliminated thousands of hours of manual effort — time that can now go toward strategic work.
A procurement function built to scale Workflows can be continuously optimised without IT support. The no-code workflow builder means Typeform's procurement process evolves with the business, not behind it.
Proactive renewals, not reactive firefighting With a centralised renewals calendar and automated alerts, Typeform's finance and business owners now have time to negotiate effectively — turning renewals from a risk into a savings opportunity.
"With a partner like Omnea, we're confident that our procurement processes can adapt to our needs. We now have an amazing user experience, a single source of truth for supplier contracts and data, and have eliminated a vast amount of manual work since migrating from Jira."
