"There's no more second guessing. We've saved countless hours searching for information and documents spread across different systems, emails, and Slack. Whatever someone is looking for, Omnea is the answer."

Before / After
Before Omnea
  • Procurement intake and approvals run through a home-grown Jira process — not fit for purpose at scale
  • Cycle times averaging 40 days per request
  • Limited workflow logic meant users asked for unnecessary information on every request
  • Process owners spending too much time manually chasing information on Slack and email
  • No single source of truth for contracts, suppliers, or renewals
  • Renewals managed manually — proactive negotiation was impossible, savings opportunities missed
  • Workflows a "black box" — no visibility into where requests were sitting or how they were progressing
  • Any workflow change required developer assistance
After Omnea
  • Employees submit requests directly in Slack with tailored, context-aware questions
  • Cycle time reduced from 40 to 15 days — a 62.5% reduction
  • 3,282 hours of manual work eliminated in the first 12 months
  • Stakeholder involvement automated based on cost and risk thresholds
  • Single source of truth for all supplier data, contracts, and renewals
  • Proactive renewals management with automated alerts and an intuitive renewals calendar
  • No-code workflow builder — processes continuously optimised without IT support
  • PandaDoc and NetSuite integrations automate NDA/contract sending and PO generation
Challenge

Typeform has scaled rapidly since its inception in 2012, but procurement had never found a permanent home. Intake and approvals were run through a home-grown process in Jira, which was already used for IT ticketing and operations. As they scaled, Jira's lack of dedicated procurement functionality proved increasingly restrictive — creating manual work for procurement owners, requesters, and approving stakeholders alike. Average cycle times reached 40 days.

Poor user experience

Limited workflow logic and conditionality meant users and suppliers were asked for unnecessary information on every request. Process owners spent too much time manually chasing information over Slack and email, and it was difficult to track indirect spend or consistently apply TPRM processes.

No source of truth

Typeform had no single source of truth for contracts, suppliers, or renewals. Data collection and management was done manually, making it impossible to get ahead of renewals for proactive negotiation — resulting in lost savings opportunities.

Opaque processes

Workflows built in Jira had become a black box. Nobody had full visibility of where requests sat or how they were flowing through the process, and any change required developer assistance. Typeform needed a system that could be continuously optimised and gave everyone the visibility to make fast, informed decisions.

"We'd outgrown our processes built in Jira and they weren't able to support our continued growth. Our number one priority was to become more agile. To do that we needed to provide a great UX for employees requesting new purchases, and keep it just as slick for our approving stakeholders. That's why we chose Omnea."

Solution

Typeform worked collaboratively with Omnea to migrate their procurement, legal, and risk workflows — with IT operations remaining in Jira. The primary aims were to reduce cycle time and eliminate manual work.

Transformed requests and approvals

  • Employees submit requests directly in Slack; Omnea asks tailored questions relevant to the specific request
  • Requesters can track all their requests in a personal dashboard with expected timelines and full process visibility
  • Reviewers are alerted when assigned, given clear deadlines, and a tailored summary of the context needed to make fast decisions
  • Stakeholder involvement is automated based on cost and risk thresholds
  • Risk questionnaires are sent to vendors automatically — no manual uploading required

A single source of truth for supplier management and renewals

  • Single source of truth for renewals viewable in a database with an intuitive calendar
  • Automated alerts keep finance and business owners informed and allow time for effective negotiation
  • All contracts and supplier data stored in a centralised database — no more searching across systems

Smart, scalable processes

  • No-code workflow builder enables continuous optimisation without IT support
  • Suppliers submit onboarding information and risk questionnaires directly via a Supplier Portal magic link, and can add colleagues to collaborate
  • PandaDoc and NetSuite integrations automate NDA and contract sending, and generate purchase orders almost instantly — eliminating what was a 2–3 hour manual process
"There's no more second guessing. We've saved countless hours searching for information and documents spread across different systems, emails, and Slack. Whatever someone is looking for, Omnea is the answer."
